Medical Office Specialist
Apprenticeship Program
Build Your Health Care Workforce Without Starting from Scratch.
Finding qualified front office staff is one of the most persistent challenges in health care today. The InReach Medical Office Specialist Apprenticeship Program gives employer partners a structured, cost-effective pathway to recruit, train, and retain skilled administrative professionals, purpose-built for healthcare settings.
What is a Medical Office Specialist?
Medical Office Specialists keep health care facilities running smoothly. Known by titles like front office administrator, patient service coordinator, and medical receptionist, these professionals handle the administrative functions that support both clinical staff and patients every day. Core responsibilities include:
- Patient interaction and scheduling
- Medical records management
- Billing, coding, and insurance processing
- Office administration and coordination
- Cross-departmental communication
When this role is filled by someone well-trained, the entire operation benefits.
About the Program
The InReach Medical Office Specialist Apprenticeship is a registered apprenticeship program that prepares workers to excel in front office and business support functions within health care environments. Apprentices complete a comprehensive online curriculum designed to earn the Certified Medical Administrative Assistant (CMAA) credential through the National Healthcareer Association (NHA), one of the most recognized certifications in the field.
As an employer partner, you select your own apprentices. They work full-time within your organization from day one, gaining hands-on experience while completing structured online coursework on their own time, meaning your operations stay fully supported throughout the training period.
On-the-Job Training Covers:
- Communication and Professionalism
- Appointment Scheduling
- Medical Law, Ethics, and Compliance
- Patient Encounters
- Billing and Revenue Cycle
- Administrative Procedures and Logistics
Why Apprenticeship over Traditional Hiring?
A 2022 study commissioned by the U.S. Department of Labor and conducted by the Urban Institute found that the median return on investment for registered apprenticeships is $144 for every $100 invested, with two-thirds of employers recouping their full investment within five years.
The U.S. Department of Labor also reports that 90% of apprentices retain employment with their employer after completing a registered apprenticeship, directly addressing the turnover problem that costs health care practices significantly more than the upfront investment in training.
Apprentices generate value from the start. Being full-time employees, they see patients and support clinic operations throughout the 12-month program and are not a sunk cost waiting to be deployed. Apprentices contribute immediately, then stay.

What Apprentices Commit To
Apprentices enter this program with clearly documented expectations, giving you confidence in the professionals you are developing.
Apprentices Commit to:
- Full-time employment with your organization throughout the apprenticeship
- 15 modules of asynchronous, online supplemental coursework completed on their own time
- Documented skill tracking and competency demonstrations
- Preparation for and completion of the NHA CMAA certification exam
- Adherence to all employer and program policies
"What I saw mostly was that our staff gained confidence in the things they knew, and felt they [staff] had the power to make decisions without always asking someone above them first."
"If we had sent them [the apprentices] to a traditional community college or some other program, we'd lose them. This way, they [the apprentices] could see what they were doing in real time, learn how to improve, and pick up new skills all along the way. They liked it, and it worked out very well for us."
"We really could only focus on one person at a time to get them [apprentices] certified. In this setting, we're able to do it as a group, and they can talk about assignments and learn together and grow together."

Frequently Asked Questions
Employer partners are responsible for two costs: the apprentice's compensation, including their salary and benefits while working full-time at your organization, and tuition for the program curriculum. Tuition rates vary, so we encourage you to fill out our form, so we can talk about current pricing and discuss what partnership looks like for your organization.
From day one, apprentices work full-time within your organization in a real Medical Office Specialist role. The 15 modules of supplemental coursework are completed asynchronously during unpaid time (typically in the evenings and on weekends), so your operations are fully supported throughout the apprenticeship
You do. Employer partners select their own apprentices, giving you full control over who joins your team and ensuring the candidate is the right fit for your organization's culture and needs. However, we provide recruitment resources and support to help you get started.
